Terms & Conditions

Last updated: 10 October 2026

Welcome to Eventity. These Terms & Conditions outline the arrangements, responsibilities and requirements applicable to our décor hire services, installations and personalised stationery orders.

By accepting a quotation and confirming a booking or order, you agree to the applicable terms outlined below, together with any product-specific conditions and our Delivery, Cancellations & Refunds Policy.

1. Quotations & Bookings

1.1. All products and services are subject to availability.

1.2. Prices displayed on our website reflect the advertised products and stated inclusions. Delivery, collection, refundable security deposits and any additional services are calculated separately unless expressly included.

1.3. Website quotation requests are preliminary and do not constitute a confirmed booking or reservation of stock.

1.4. Eventity will provide a final quotation confirming the selected products, quantities, event date, delivery arrangements and applicable charges.

1.5. A booking is confirmed only once the quotation has been accepted, the required booking payment has been received and Eventity has issued confirmation.

1.6. Any additions or alterations requested after confirmation are subject to availability and may result in additional charges.

2. Hire Payments

2.1. A minimum hire order value of R5,000 applies to rental products, excluding delivery, refundable security deposits, stationery and additional services.

2.2. A 50% booking payment is required to secure a hire reservation.

2.3. The remaining balance is payable no later than seven days before the event.

2.4. All required payments, including the refundable security deposit, must be received before hired products are released or installed.

2.5. Failure to make payment by an agreed due date may affect the booking and availability of products, subject to applicable law and our cancellation policy.

2.6. All prices are quoted in South African rand (ZAR).

3. Refundable Security Deposits

3.1. A refundable security deposit applies to hired products and will be confirmed in the final quotation.

3.2. The security deposit is held as security against loss, breakage, damage, missing items and applicable additional charges arising from the hire.

3.3. Hired products will be inspected following collection or return.

3.4. The remaining security deposit will be refunded within 10 business days after return or collection and inspection, less any legitimate deductions.

3.5. Where deductions are made, Eventity will provide details of the relevant loss, damage or charge.

3.6. If the cost of loss or damage exceeds the security deposit, the client remains responsible for the reasonable outstanding amount, subject to applicable law.

4. Hire Products & Use

4.1. All hired products remain the property of Eventity.

4.2. Products are supplied for use during the agreed hire period and must be returned or made available for collection as arranged.

4.3. The client is responsible for taking reasonable care of all hired items and ensuring they are used for their intended purpose.

4.4. Hired items may not be modified, dismantled, relocated or used in a way that could cause damage or create a safety risk without Eventity's prior approval.

4.5. The client must ensure that hired products remain reasonably protected from theft, avoidable damage and unsuitable environmental conditions.

4.6. Any loss, breakage or damage should be reported to Eventity as soon as reasonably possible.

5. Loss, Breakage & Damage

5.1. The client is responsible for loss or damage to hired products occurring while the products are in the client's care or control, except where Eventity is legally responsible.

5.2. Reasonable repair, cleaning or replacement costs may be charged where damage exceeds ordinary wear from appropriate use.

5.3. Where a damaged or missing component cannot reasonably be replaced individually, Eventity may charge the reasonable cost of restoring the affected collection or set to its original usable condition.

5.4. Any such charge will take account of the nature of the damage, available replacement options and the actual loss incurred.

5.5. The refundable security deposit does not limit the client's responsibility for proven loss or damage.

6. Tablescape Collections

6.1. Eventity's tablescape collections are designed as coordinated sets, with inclusions specified in the applicable product listing and final quotation.

6.2. A minimum booking of three 10-seater tables applies to our standard tablescape collections unless otherwise agreed.

6.3. Substitutions, additional items or changes to a collection must be requested and approved before the event and may incur additional charges.

6.4. Artificial floral arrangements, linens, tableware, cutlery, glassware and other reusable items supplied as part of a collection remain the property of Eventity.

6.5. Tablescape collections may be supplied for client-managed setup where appropriate. A styling guide will be provided for this option.

6.6. Professional setup by Eventity may be arranged for an additional charge, subject to availability.

7. Statement Pieces & Installations

7.1. Statement pieces include selected antique furniture, decorative displays, food and drinks stations, ceremony arches, dance floors and related hire products.

7.2. Each product's inclusions, setup requirements and hire conditions are specified in its listing and final quotation.

7.3. Certain installations, including wedding arches and dance floors, require professional installation and dismantling by Eventity.

7.4. The client must ensure that the venue provides suitable access, sufficient space and a safe, stable surface for delivery and installation.

7.5. Any unusual access requirements, uneven ground, restrictions or other relevant venue conditions must be disclosed before the booking is confirmed.

7.6. Additional charges may apply where previously undisclosed conditions require extra equipment, labour or installation arrangements, subject to the client's approval.

7.7. Eventity may decline or suspend an installation where conditions present a material safety risk. Any resulting arrangements will be handled in accordance with applicable law and the circumstances.

7.8. Installed structures and displays may not be moved, altered or dismantled by the client or third parties without prior approval.

8. Antique & Character Pieces

8.1. Certain Eventity products are antique, vintage or restored items with individual character.

8.2. Natural variations, patina and minor age-related markings may form part of their appearance and are not necessarily considered damage or defects.

8.3. Antique and delicate pieces must be handled carefully and used only for their intended purpose.

8.4. Existing characteristics do not remove Eventity's responsibility to supply products in the condition represented and required by applicable law.

9. Stationery & Personalised Products

9.1. Eventity offers printed wedding invitations, menus, name cards and other personalised stationery for delivery throughout South Africa.

9.2. A minimum order of 20 units per product design applies to standard stationery products unless otherwise stated.

9.3. Stationery orders require full payment before production begins.

9.4. Clients are responsible for supplying accurate names, dates, wording, guest information and other personalisation details.

9.5. Where a digital proof is provided, production will proceed only after the client has approved the final design.

9.6. Clients must carefully review all spelling, wording and layout details before approval.

9.7. Corrections or changes requested after approval or once production has begun may incur additional costs or may not be possible.

9.8. Standard personalisation is included where specified. Additional design work, major alterations or custom requests may be quoted separately.

9.9. Minor variations in colour, print alignment, paper texture and handmade or speciality finishes may occur within reasonable production tolerances.

9.10. Production times and delivery arrangements will be confirmed in the final quotation. Delays in supplying information or approving proofs may affect the agreed schedule.

12.2. Applicable cancellation charges, refunds and postponement arrangements are described in our Delivery, Cancellations & Refunds Policy.

12.3. Any cancellation charge will be applied subject to the Consumer Protection Act and other applicable South African law.

12.4. Personalised or specially produced goods may be subject to different cancellation and return conditions, as permitted by law.

12.5. Nothing in these terms excludes any cancellation, refund or other consumer right that cannot lawfully be excluded.

13. Unforeseen Circumstances

13. Unforeseen Circumstances
